Session Chair Ordering Instructions

The program committee has met and scheduled the meeting while also moving abstracts from sessions that did not receive enough submissions to viable ones. The following are instructions for ordering your sessions, which may contain multiple oral and poster session blocks. The Convention Centre of Palma has limited space for oral presentations and you will have to posterize some oral-submitted abstracts.

Things to Know

  • The deadline for sorting your session is Tuesday, 9 April 2023 at 07:00 Eastern US time. If you do not meet this deadline, the ASLO 2024 staff will order your session for you.
  • Oral presentations (including invited speakers) are allotted 15 minutes within a 90-minute session block (six presentations in a session section).
  • Tutorials: You may designate one (and only one) presentation as a 30-minute tutorial. Note that by designating a tutorial, you are decreasing the number of oral slots available to other presenters by one.
  • Important! Sort your oral session blocks first. Many submitters you will give an oral presentation will have selected “Either” as a presentation preference. By sorting your oral session blocks first, you will make sure that as many submitters as possible who want an oral presentation will receive one.
  • You must assign posters to your poster block. Poster session blocks are denoted by a "P" after the session code. All other blocks are oral.
  • You must assign all of the presentations in your session pool.
  • You can designate one tutorial and up to two invited presenters. They must be registered, paid, and attending the meeting. To designate a presentation as a tutorial or invited, please send the abstract code, session number, name, and designation of the presenter to [email protected].

Quick Start

  1. Log into the abstract system by choosing "My Account" at:
  2. Choose “My Sessions” from the “My Account” menu
  3. Choose “Edit Details” and then the Agenda tab to start ordering a section of your session.
  4. Move presentations from the bottom (unordered) part of the page by clicking "Assign to Session" into the session schedule at the top. Conversely, clicking "Remove" in the top (ordered) part of the page will return that presentation to your pool of unordered presentations.
  5. Important! Save and Finalize the session block when finished.
  6. Repeat for all sections of your session.


Common Issues

If you log into the abstract system but do not see “My Sessions” this means there is a mismatch between your login record and the one for the session chair. Email [email protected] to correct this.

If you attempt to log in and get sent back to the meeting registration page or you have other login issues, use the incognito or private session feature of your browser.  Clearing your browser cache and cookies for both and may also clear this issue.

Sorting Your Oral Presentation Blocks

  1. Log into the abstract system by choosing "My Account" at
  2. Use the My Account Menu to open “My Sessions.”
  3. Depending on the number of abstracts your session received, you may have more than one session block. Each block must be ordered and finalized. To begin, select “Edit Details” for the session block you want to order.
  4. Select the Agenda tab.
  5. You will see all the presentations assigned to your session, both oral and poster, in the lower section of the agenda.

    You have three functions:

    • View: lets you see the full abstract and the submitter's presentation preference.
    • Assign to Session: Move a presentation from the lower part of the page into the session block you are working with.
    • Flag: Allows you to flag a presentation as inappropriate. Only use this function if a presentation has no relation to the session’s subject matter.
  6. Use the “Assign to Session” function to fill each session block.

    • You must assign six 15-minute presentations for each oral block.
    • You may drag presentations to the top portion of the page to order them.
    • If you want to remove a presentation from the session block you are working with, use the “Remove” function in the top portion of the agenda.
    • Tutorials: If you wish to designate a 30-minute tutorial, add that presentation as the first presentation of your first session block and then use the Add Other Time to this Session (under Add Item to Session). Choose Tutorial Padding, make the duration 15 minutes, and then add it as the second presentation in that time block. Assign the next presentations to the third one in that block.
  7. Be careful not to assign a presentation with a preference for a poster to an oral slot without the permission of the presenter involved.
  8. After ordering a session block, select the “Finalize” button and return to My Account-> My Sessions if you have more blocks to order. You must "Finalize" each session block for it to appear on the schedule. Make sure to order all your oral session blocks before ordering your posters.

Sorting Your Poster Session Blocks

After your oral session blocks are ordered and finalized, only poster presentations will remain in the lower half of the agenda. The instructions for adding and ordering presentations to your poster session block are the same except:

  • Poster sessions are not time-constrained as are oral blocks. You may assign as many presentations to your session’s poster block as needed.

You must assign all posters to your poster block and finalize it.
