Poster Presentation Guide

Please read the poster section of ASLO’s guide on preparing a successful presentation.

Posters prepared for the ASLO 2024 Meeting must be exactly 46 inches wide by 46 inches high (116.84 cm wide by 116.84 cm high). They will be placed on poster boards and will adhere to the boards using push pins that will be provided.

Posters will be presented depending on the poster session to which they are assigned. You will be notified of your poster session’s time and day well in advance of the meeting, and you will be expected to be available to present your poster during your designated poster session. Poster presenters are asked to adhere to designated set-up and tear-down instructions and times. These times will be sent once the schedule is established.

There will be two (2) posters per side of each panel-board. Therefore, posters must be no larger than the maximum size. If your poster exceeds these specifications, it may be subject to removal.

Important note regarding poster presentations: The convention decorator may discard posters if the presenting author does not dismantle them according to tear-down instructions and times.

Your Poster Number

Each poster will be assigned a number. You will put your poster next to this number. This is how other attendees will find your presentation in the poster hall.

Constructing Your Poster

Your poster should be exactly 46 inches wide by 46 inches high or (116.84 cm wide by 116.84 cm high). If your poster exceeds these specifications, it may be subject to removal.

The presentation must cover the material as cited in your abstract.

  • Place the title of your paper and your paper number prominently at the top of the poster board to allow viewers to identify your paper. Indicate 1) the abstract’s presentation number, 2) the title, and 3) the authors’ names.
  • Highlight the authors’ names, e-mails, and address information in case the viewer is interested in contacting you for more information.
  • Prepare all diagrams or charts neatly and legibly. Paragraph and figure caption text should be in, at least, 24-point font (0.9 cm height) and headers in, at least,m 36-point font (1.2 cm height).
  • Use different colors and textures/symbols for each line or bar contained in your graph or chart. A serif font (e.g., Times) is often easier for reading the main text, and a non-serif font (e.g., Arial or Helvetica) for headers and figure labels.
  • Organize the paper on the poster so it is clear, orderly, and self-explanatory. You have complete freedom in displaying your information in figures, tables, text, photographs, etc.
  • Use squares, rectangles, circles, etc., to group similar ideas. Avoid cluttering your poster with too much text. Label different elements as I, II, III; 1, 2, 3; or A, B, C, making it easier for a viewer to follow your display.
  • Include the background of your research followed by results and conclusions. A successful poster presentation depends on how well you convey information to an interested audience.

Printing Your Poster

You may print your poster and bring it with you or you may have your poster printed locally and delivered to you at the convention center.

Do not laminate your poster, it will be too heavy to stick to the poster board.

To simplify the poster printing process, ASLO is partnering with Minuteman Press, based locally near the convention center in Madison.

Thanks to their assistance, we will have poster pick-up available at the meeting as well as one of their representatives available during the following times to assist with any printing questions.

  • Sunday, 2 June, 2:00 – 6:00 pm
  • Monday, 3 June, 10:00 am – 5:00 pm
  • Tuesday, 4 June, 8:30 – 11:00 am

To order your poster, email [email protected], include that you are part of the ASLO group, that you need a 46” x 46” poster, and attach your completed poster file as a PDF. As the presenter, you are responsible for proofing the completed file and confirming payment with Minuteman Press. The estimated cost for the poster is $45 USD and includes pick-up at the convention center. Payment is due to Minuteman Press upon order confirmation.

If you cannot pick up your poster before 11:00 am on Tuesday, the remaining posters will be held at the ASLO registration desk. ASLO is happy to facilitate this process but holds no responsibility for your order or poster.

Poster Set-up

Date/Time: Monday, 3 June, 2024, 13:00 to 17:00
Location: Madison Ballroom D

Posters should be put up on Monday, 3 June between 13:00 - 17:00. Posters are located in Madison Ballroom D and consecutively number. Do not laminate your poster-it will be too heavy to stick to the poster board.

Poster Tear-down

Date/Time: Thursday, 6 June, 2024, 20:00 to 22:00
Location: Madison Ballroom A

Posters can be removed from the poster areas on Thursday, 6 June between 20:00 and 22:00. We encourage posters to remain up all week. Any posters left after 17:00 on Friday, 7 June will be disposed of by the convention center and cannot be retrieved.
