Registration

Registration fees must be paid in U.S. dollars (USD) and drawn on a U.S. bank. Credit card fees will appear as a charge on your credit card statement to ASLO.

Online registration is preferred and highly recommended. Electronic registrations must include complete credit card information.

If you are not able to register by electronic means, please complete the printable version of the registration form and send to the address listed below with payment, credit card information or with purchase order.

The full registration fee includes admission to all oral and poster sessions, exhibits, town hall meetings and workshops, auxiliary meetings (unless by invitation only or otherwise specified), Sunday welcome mixer, receptions, coffee breaks, access to the mobile app, and the electronic program (*). Optional events such as any field trips or other special organized activities are not included.

(*) Printed program - Please note that a printed program book will be available only to those participants who request a copy when they register for the meeting. If you wish to receive a printed program for the meeting, you must have indicated this on your registration form. This policy will be strictly adhered to for this meeting.

The single-day registration fee includes admission to all oral and poster sessions, exhibits, town hall meetings, auxiliary meetings (unless by invitation only or otherwise specified), workshops, and coffee breaks for the day you registered, access to the mobile app and the electronic program.

Fees to attend the meeting should be paid in advance. Registrations are not considered final until a check, money order, purchase order, or charge card information is received. All registrations must include complete credit card information, including number, expiration date, and cardholder name and security code on the back of the card. VISA, MasterCard, Discover and American Express are accepted. Organizations can be billed only if a purchase order accompanies the registration either electronically or by mail.

Guest / Spouse Fee

Spouse and guest fees cover only the conference social events such as the Sunday welcome reception and other receptions, and coffee services. Optional events such as any special activities are not included. The guest/spouse fee does not include admission to the plenary or concurrent sessions.

Registration for U.S. Government Employees

U.S. government employees may register between now and the meeting and still will be able to register at the appropriate early rate. This includes new registrants who register online and submit an abstract before the early registration deadline, those who register between January 2020 to June 2020 as well as those who register onsite.

In order to submit an abstract, U.S. government employees must be prepared to pay the appropriate abstract submission fee by the (February 2020) deadline. Please contact Jo Davis at jdavis@sgmeet.com to receive a registration code before you submit your abstract. This code will allow you to submit your abstract, pay the abstract submission fee, but defer payment of the required registration fee. The balance of your fees must be paid in full prior to the start of the meeting.

Payment can be made by any of the following methods:

Credit card: Visa, MasterCard, American Express and Discover. The charge on your credit card statement will appear as ASLO.

Check made payable to ASLO/SFS 2020 Joint Meeting.  Payment must be made in U.S. dollars and drawn on a U.S. bank. Checks accompanying a completed forms package will be mailed to:

Substitutions or Cancellations

We understand that occasionally other responsibilities and personal obligations prevent you from attending a program for which you have registered. If you find that you will not be able to attend the meeting, we encourage you to send a substitute. Substitutions can be made at any time at no additional charge, even on-site at the conference.

If you find it necessary to cancel after you have already paid, we can refund your conference fee (less a $90.00 USD processing fee) if we receive notice in writing on or before 17 May 2020.  Registrants who cancel on or after 18 May 2020 will be not be eligible for any part of a refund. Abstract submission fees are non-refundable as well as membership fees. (Please note that refunds only can be issued to the credit card that was used for the initial transaction.)

The conference management office must be made aware of all substitutions or registration transfers in writing; email notification is preferred.

Letters of Invitation

Only presenting authors or other speakers will receive a letter of invitation You must have paid the registration fee to receive an invitation letter.  If you require an invitation letter, please contact the meeting project manager, Sue Rulla, suer@sgmeet.com.

Please note: We are unable to send invitation letters directly to consulates on behalf of a potential attendee.  Invitation letters are prepared solely for individuals and are emailed directly to them.  It is your responsibility to ensure documentation is correct and completed in a timely manner before you start your journey.  We recommend you apply for your visa at least 10 weeks before you travel (earlier in some cases).  For more information, contact your nearest embassy or consulate.
